    Job Summary


    Coordinates administrative and clerical functions, nursing supply inventory and medical record functions for the facility.


    Duties and Responsibilities

    1. Provide administrative support to facility. Generate, distribute and maintain general correspondence, reports, and other written materials as assigned.
    2. Serve as receptionist when necessary. Greet visitors and direct to appropriate person or area. Receive incoming calls and direct to appropriate staff. Organize, sort and distribute mail.
    3. Maintain, organize, and distribute nursing supplies at designated par levels; order and stock supplies (in supply rooms and nursing units) on a regular basis or as needed.
    4. Monitor supply expenses to assist with maintaining monthly nursing budget. Provide weekly expense report to Administrator.
    5. Perform maintenance of confidential resident charts and medical records in accordance with applicable state and federal regulations and community standards.
    6. Ensure that Physician's orders and other records requiring signatures are received and filed/uploaded within the required time frame.
    7. Utilize Electronic Medical Record (EMR) to analyze and assess delivery and documentation of clinical care.
    8. Assemble and review resident's medical records of discharge for completeness, and compile data from medical records for periodic and statistical reports.


    Job Qualifications


    Education, Training, and Licensure/Certification

    • High School diploma or equivalent preferred.



    • One year experience in health care staffing.


    Knowledge Skills and Abilities

    • Competency in utilizing the Electronic Medical Record (EMR). Proficient in Microsoft Office, including Excel, Word, Outlook.
    • Strong organization skills with ability to anticipate needs.
    • Strong interpersonal skills with ability to continually foster effective relationships with staff.
    • Strong oral and written communication skills with ability to speak, read and write fluent English.
    • Strong problem solving skills. Detail oriented with ability to organize and prioritize.
    • Proficient math skills including addition, subtraction, multiplication, division and ratios.
    • Strong sensitivity skills with ability to display compassion with vulnerable adults who may become angry hostile or combative.
    • Ability to work effectively in a diverse cultural work environment.
